J.Inos Event Essentials Rental Contract Terms and Conditions

Reserving Equipment

Equipment will be reserved upon the deposit of 50% of total charges. This deposit is non-refundable and will be paid via Cash App, PayPal, MasterCard, Visa, Discover, and American Express. 

 

All organizations, companies, or any entity required to pay via check must be received 15 business days prior to event date. All reservations within 30 days or less of the event date are required to be paid in full. 

 

Your reservation will not be considered complete or marked as reserved until a deposit or payment  has been received. All quotes are valid for 30 days of quotation date. Prices are subject to change after expiration of 30 day quotation date. Equipment availability is based on availability at the time of quotation. Submission of an quote does not guarantee any equipment listed on quotation.

This equipment cannot be sub-rented or used by any other party then who's listed on the given invoice. This equipment cannot be relocated to any other delivery address other than the agreed upon or listed delivery address. 

 

Within ten business days of the scheduled event, items cannot be canceled. Canceled items within these 10 days will be charged to the renter at rental cost.

Missing or Damaged Items

J.Inos Event Essentials will pick up the items on the specified date and at a time agreed upon on delivery. If not all items are present, items not returned to J.Inos Event Essentials within two business days after the event are considered missing. Missing or damaged items will be charged to the client at replacement cost. A detailed invoice of these items will be provided to the client.

Final Payment

Final payment is due within two weeks or 10 business days of scheduled event date and will be made by Cash App, PayPal, MasterCard, Visa, Discover, and American Express.

 

Within ten business days of the scheduled event, items cannot be canceled. Canceled items within these 10 days will be charged to the renter at rental cost. Any cancellations prior to these 10 days, are only entitled to 50% of balance paid in full. All refunds are subject to processing and transaction fees.

Delivery and Set Up

J.Inos Event Essentials will strive to accommodate client delivery request; however, delays and changes in the schedule are sometimes unavoidable. We try to communicate any scheduling changes as they occur.

All items will be delivered and picked up at a designated location. The client must be available to count all items upon delivery and pick up; otherwise, J.Inos Event Essentials counts will be considered accurate.

If equipment must be staged or setup, customers must request before completion of reservation (setup fee applicable). If not communicated during time of reservation, J.Inos Event Essentials employee's or representatives are NOT responsible for staging or setup of ANY equipment.

 

If items are required to be carried up or down stairs, steep hills, slopes, inclines, declines, any unleveled surface, or distance considered to excessive client must communicate this information before completing reservation. Otherwise a J.Inos Event Essentials delivery personnel will decide the safest location for placement of items reserved. 

If any tent is ordered, the tent, lighting for the tent, and liners for the tent will be properly set-up and secured in a designated area by the delivery personnel (setup fee applicable). It is the SOLE RESPONSIBILITY of the renter or property owner to communicate to J.Inos Event Essentials of any underground wiring, pipes, sewage systems, or anything else that could interfere with the tent stakes.

Tents are required to be set up on level ground. All tents are to be setup on grass surface unless communicated to J.Inos Event Essentials personal at the time of placing the reservation. If tent are to be set up on concrete, asphalt, rock/gravel customer must communicate so at the time of placing the reservation. If this information is not communicated while placing the reservation or prior to delivery, we reserve the right to refuse tent setup without refund to customer due to safety concerns and conditions. It will be up to J.Inos Event Essentials discretion for the determination of tent location or set up due to safety concerns. 

 

All tents are secured with Hi-Vis ratchet strap for the safety of all customers and their guests. Stakes are driven between 1-4 feet into the ground. If any underground systems are not communicated to J.Inos Event Essentials personnel or incorrect information is given, J.Inos Event Essentials will not be responsible for any underground damage. J.Inos Event Essentials has the right to decline any services if the determination is deemed unsafe. It is the SOLE RESPONSIBILITY of the renter or property owner to communicate ANY underground drainage, plumbing, sewage or wiring systems.

 

If any dance flooring is ordered, the dance floor will be properly set-up and secured in the designated area by the delivery personnel (setup fee applicable). All dance floors are required to be setup on level ground or surface. It is the SOLE RESPONSIBILITY of the renter to ensure that the ground or surface are level and smooth prior to the installation of the dance floor. It will be up to J.Inos Event Essentials discretion for the determination of the dance floor placement due to safety concerns. 

Cleanup Preparation for Pick Up

All floral arrangement, trash, and decorations of any kind should be removed from the tent or other rental equipment before scheduled pick up time. There will be an additional charge of $200 for any items that are removed by J.Inos Event Essentials. There will be an cleaning fee for any wax, excessive grease, ink, mud, and/or any hard to remove stains on linens, tables, chairs, tents or any item rented from J.Inos Event Essentials.

Weather

Tents are temporary structures designed to handle most normal weather conditions; however, there may be situations that become unsafe such as heavy or continuous rain, high winds, lightning, hail, thunderstorms, snow, and ice. 

*Rain: Rain water may collect on the tent fabric perimeter causing “ponding” or “water pocketing”. This may cause partial or complete collapse and damage to the top/frame components/and poles.

*Wind: Wind/Rain combination can cause rope/ratchet and ground stakes or barrels to loosen. This may cause partial or complete collapse and damage to the top/frame components/and poles.

*Lightning: Immediate evacuate the tent until the chance of a lightning strike is no longer present. 

*Snow/Ice: Tents, canopies, or any temporary structures are not designated to carry any ice or snow loading. All tents must be evacuated immediately.

Evacuation of tents is recommended in these or other unsafe conditions.

Summary: Responsibility of the Equipment Remains With the Client From the Time of Delivery to the Time of Pick Up

Please be sure that all equipment is secured when not in use and protected from the weather. All collection fees, attorney fees, court costs, or any expense involved in the collections of rental charges, damaged items, or injury will be the client’s responsibility. Be sure all equipment is returned per these terms and conditions. The client is solely responsible for any additional charges incurred because of failure to meet these conditions.

IN THE EVENT OF ANY LEGAL PROCEEDINGS BROUGHT AGAINST J.INOS EVENT ESSENTIALS TO RECOVER COMPENSATION FOR DAMAGES TO CUSTOMERS PROPERTY OR INJURIES TO INDIVIDUALS IN CONNECTION TO THE CUSTOMER’S EVENT, THE CUSTOMER WILL PROVIDE DEFENSE FOR J.INOS EVENT ESSENTIALS AND ANY EMPLOYEES NAMED IN SUCH PROCEEDINGS AND WILL INDEMNIFY J.INOS EVENT ESSENTIALS AND ITS EMPLOYEES FROM ANY JUDGMENTS RENDERED AGAINST THEM.
